What is SARSEF?

The Southern Arizona Regional Science and Engineering Fair (SARSEF) is an affiliate of the International Science and Engineering Fair (ISEF) which is managed by Science Service, Inc. SARSEF is normally held annually at the Tucson Convention Center (TCC) in the second or third week of March. About 1300 projects will be displayed, judged, and open for public view. 25-30% of the projects will receive awards ranging from certificates of excellence, cash, trophies, to scholarships. This year, SIX High School projects (either individual or team), and two 8th grade observers are selected to attend the Intel International Science-Engineer Fair. We are very proud of our Southern Arizona students and honored that SARSEF has been able to assist in the advancement of their interest in science and hopefully their careers!

What is MSTFF
|

It is the Math Science and Technology FunFest that runs on Wednesday through Friday of SARSEF Week. This event includes approximately 70 booths with science, engineering and technology demonstrations and hands-on events. It is geared toward the middle school students and attendance is by reservation only. Contact MSTFF for more information.

What is Physics Factory

The Physics Factory is a University of Arizona spin-off from it's Phun Physics night. The Physics Factory bus brings many incredible, fun and educational events directly to the class for an hour long visit. Contact Physics Factory for more information.

What is Science Olympiad
|
|

|
The Science Olympiad is a team oriented activity organized at participating schools. The teams construct or devise answers to specific questions posed by the national organization. Events have included such things as building a trebuchet with specific materials, or constructing a bridge or some other structure using only the material prescribed. Registration for SARSEF (On-Line): Please note the following details:
Re-establish your Registration System Sign-in Data. Everyone should follow the "First-Time?" procedure when first logging on to register their school's projects each year. This applies to everyone, whether you have participated in SARSEF before or not. School data and passwords/IDs need to be updated.
Wherever possible please provide student or parent email, postal, and telephone information. No one's information will be given to any organization without the parent and student approval. This information will enable us to contact the student for special events, media interest, and related information, and in the event they have won an award at SARSEF and we are not able to reach the school during the fair week..
On-line payment continues for registration fee payment. Have your credit card information ready (Visa/MC/debit) when you submit your registrations to SARSEF. Fees may still be paid by mailing a check or purchase order to SARSEF, 3247 N. Christmas Ave., Tucson, AZ 85716 , If not paying on line, please indicate your payment method when submitting your project registrations to SARSEF.
The Worksheet will help you gather all the data you need to complete your students' registrations.It is helpful to have this information prior to starting the on-line process.
As usual, we will be taking photographs and videos at registration, setup, interview and awards, and would like to have permission to use those images in promotion and press release information. However, we are prohibited from using these images if we have not obtained approval prior to their use. Most schools obtain such approval and maintain those records on file. If your school does have release forms on file we ask that you indicate this in the checkbox on the form; however, if you do not have the release on file we ask that you have the parents sign such a release and bring that release to the SARSEF on Setup day.

My school has both Gate and standard programs. How many projects may we send to SARSEF?

We recognize that some schools have special programs such as GATE which function as a separate school within the same facility and state ID#. For such circumstances 12 in each K-5, 6-8 th grade school are accepted. Click here for those schools with overlapping grades, such as K-9.

What is the SARSEF PRIVACY AND CONFIDENTIALITY STATEMENT?

We provide this statement because we are asking for information on participating students via the On-Line Registration System. Frequently, SARSEF students and their projects have advanced to further competition, been selected by local professional societies or the press for recognition. It streamlines the process of providing these opportunities if we have acquired the parental approval and contact information upon their registration to participate. Space is offered for the school to obtain parental signatures on the Project Registration Worksheet if no other resource is available for the school to obtain this approval.

How do I pay the $10 Entry Fee?

There are several options for paying your fees. A statement of fees owed will appear on your screen when you submit your project registration data. This statement is to be printed and sent along with your payment, unless you opt for on-line payment. Regardless of the method of payment you select, payment for all projects from your school is to be received together. If you do not pay online, send check to: SARSEF Director,

Why an Entry Fee?

The high cost of running the Regional Fair requires us to charge Entry Fees.

Why a $10 Late Registration Fee?
|
|

|
An additional $10 per project (total fee $10 per project) will be charged for all projects registering after the deadline. Schools having no alternative than to hold their school fair after that date MUST contact SARSEF before the deadline to request a late fee waiver.

Why a $10 Data Change Fee?
|
|
A
|
When changes are required at SARSEF, during registration, it slows the process, costs additional funds for printing, copying, and usually involve moving a project from its current location to another. We have nearly 1500 project all in numerical order, so this becomes a difficulty on many individuals.
When the mistake to be corrected is unavoidable for some reason, the Director or one of the Deputy Directors may provide a waiver; however, in all cases when the change is in project title, grade level or category the fee will not be waived.

My teacher already submitted my project, but I need to correct some of my registration data. Can I change it without a penalty fee?
|

Yes. If your project data has already been submitted and it is before the 1 week deadline before SARSEF, please contact SARSEF by email ASAP. Data changes made in advance will be accommodated.

I do not want to enter student contact data for their SARSEF registration. Can I enter school data instead?
|
|

|
Students in grades 5-12 have the opportunity for other challenges such as Broadcom and contest that follow SARSEF. Challenge and for the Intel International Science and Engineering Fair. This information is required to enter into these competitions.
If the student data is not available and the school can not be reached on the Wednesday of SARSEF, we have no way of reaching winners to alert them to attend the award ceremony.

My student does not have their own email or I prefer not to give the student's email address. What do I enter?

|
The email is so that we may contact the student if they have won, or if an organization wishes to contact them. We would make the contact. No information will be given out. Any email that will assure communication directly to the student is acceptable (parent, teacher, etc).

Who will be contacted if my student wins a prize at SARSEF?
|
|

|
SARSEF will post the names of students and teachers who have won an award and need to attend the Awards Ceremonies. As in the past, some schools are out on Spring Break during the SARSEF. Please enter the telephone number and email addresses where contact can be made during SARSEF week (someone that can contact the students) in case of special requests from judges.

Can a student register their own project on-line?

No. Only one representative from each school can enter projects for participation at SARSEF. Normally, this will be a teacher or Fair director.

If I begin entering my projects and don't have all the data I need, what do I do?
|

|
You may log out and return at a later time without losing your previously entered data. Please take advantage of the worksheet to gather the needed information and to minimize the time and effort needed to enter your projects.

If I begin data entry and need to stop, what happens?
|
|

|
You may stop and restart at any stage of data entry up until you actually submit them to SARSEF. When you return to entering data, you will find your previous work has been maintained.

I've submitted my projects, but need to make a change. How do I do that?
|
|

|
Once you have submitted your projects, please contact SARSEF, preferable by email to make data changes. Please take advantage of the worksheet in preparing your data and for verifying its accuracy before submission. Data changes at the SARSEF event will cost an additional $10.00.

What can students include in their Display? Why can't they leave their plants, computers....with their project for the judges?

Can students of different grade levels work on the same project?

Yes. Students of different grade levels may work on a project together, however, the project is to be registered as, and will be judged at, the highest grade level of the students working on the project.

What are the size limitations?

Kindergarten through 8th Grade:

106cm (42in) high (table top-display top) {Tables are 76cm (30 in) high}.Electrical power is not provided at display tables for K-8 projects.
High School:

Electrical Power 110 volts is provided only if requested during on-line registration. (ISEF now permits up to 220 volt, but SARSEF can only provide 110 volts at the display table.) There will be a $25 fee to assist with the cost ($75/line)

Can parents call to find out if their student won a prize?

|
Please do not call, as this ties up the limited phone line. SARSEF Officials will post the schools of all participants winning a prize after 8:00 PM on Wednesday of the SARSEF week.
